How billing works
Active learner count
Counted once per billing month from enrolment state, not from login activity.
Usage events
Attendance batches, verifications and pay runs are metered so the invoice can be reconstructed.
Pass-through ledger
External provider costs are recorded with the reference returned by the provider.
Tax invoice
A SARS-compliant tax invoice is generated with the tenant VAT number and period.
Payment status
Dunning states and settlement records are visible to the tenant administrator.
Pricing questions
A learner with an active enrolment in a programme on the platform during the billing month. Completed, withdrawn and cancelled enrolments are not billed once the exit is recorded.
Every tenant gets its own configuration, evidence policy, audit chain, backups and support. The minimum keeps small cohorts viable without hiding the cost in per-event fees.
No. External provider charges are pass-through costs, itemised in the billing ledger at the contracted rate. The platform itself does not add a per-call markup.
Prices are shown excluding VAT. South African VAT is added on the tax invoice where applicable, with a valid VAT number recorded against the tenant.
Yes. A prepaid cohort pack covers a defined cohort for twelve months and is useful for grant-funded programmes that cannot carry a monthly subscription line.
You keep your evidence. A pilot tenant can be converted to a subscription, exported as a complete evidence bundle, or closed with a documented data-retention decision.
